Buying non-standard equipment

How to purchase

All computing devices should be purchased with DTS approval to ensure compliance and compatibility. If your requirement falls outside of the standard options, you will need to speak to us to get options and a quote.

Non-standard device (hardware exception process)

If you want to purchase a laptop (Windows), different MacBook or any other computer not listed in our IT Equipment Catalogue, you must complete the IT Hardware Exception Form. This enables DTS to assist staff in choosing an appropriate model to ensure that the choice is compatible with the University's software and hardware systems. 

Examples of non-standard devices include:

  • Change to the standard spec or a different model (e.g. more memory, larger screen)
  • Computers for PC labs or classrooms
  • Non-standard high-performance PC for research
  • Rugged laptops for outdoor use

This form offers two options:

  1. You would like to provide general requirements for DTS to recommend appropriate hardware and provide a quote.
  2. You already know the specific hardware that you require and would like DTS to check and approve the purchase.

In this form you will also be asked to provide the requirements or functionality which cannot be met by the standard laptop.

DTS will work with you to suggest appropriate options. Once you have decided what you want, DTS will then provide an item code (punchout code) which you can use to purchase via your departmental purchasing process if you wish to proceed. 

Important

The quote DTS provides you will include the device plus asset tagging and device management registration (Intune / JAMF) for University of Reading. These items are MANDATORY and must be included on the P.O. raised via the Procurement P2P Punchout site. Failure to include these items will delay your order.

When the device arrives, please contact DTS to arrange for a technician to set up the device correctly for you. 

Standard device funded by department (locally funded)

If you want a device that is in the IT Equipment Catalogue but you or the person you are buying for is not eligible for a device through Device Lifecycle, you should complete the “Locally funded standard device" form. 

Examples may include:

  • A second Windows Surface device to be used alongside a Device Lifecycle provided device
  • A standard Windows Surface laptop for PGRs or visitors (who are not funded by the Device Lifecycle process)

This form lets you choose from the standard laptops available and enables us to fast-track your request. DTS will provide an item code (punchout code) which you can use to purchase via your departmental purchasing process if you wish to proceed.
