Approved AI Tools

Microsoft Copilot (Approved for Staff and Students)

Microsoft Copilot is the primary approved AI tool for use at the University of Reading.

To use it safely, you must log in with your University credentials. Logging in with your University account activates "enterprise data protection." This ensures that your prompts and the data you upload are kept secure and are not used by Microsoft to train public AI models.

Unapproved Public Tools

Do not use public AI tools (such as the free versions of ChatGPT, Claude, or Google Gemini) for University business. Any information you put into these free tools can be used to train future public models, which is a breach of the University's data protection policy.

AI Meeting Assistants (e.g., Teams Transcription)

If you are using an AI tool to transcribe or summarize a meeting, you must inform all participants at the start of the call and get their consent. Always read through AI-generated meeting minutes to check for accuracy before you share them.
