Information shared with University Partnerships Programme (UPP)

The University shares information about its students with University Partnerships Programme (UPP), its partner for the operation and management of student accommodation. A short summary of the information that may be shared and how this information may be used is given in the sections below. Full details of the data protection provisions of the agreement between the University and UPP can be seen in the Data Protection section of the Halls Agreement. UPP may also share some information about students with the University, for instance information relating to fines.

How students' personal information is used by UPP

UPP will access and process student data provided by the University for the following purposes only:

  • For all lawful purposes in connection with the provision, administration and management of the accommodation including (but not limited to):

- the detection and prevention of crime

- the measurement of student satisfaction

- the allocation of rooms

- the management of insurance

    • To enable either the University or UPP to carry out and perform their duties and obligations under the project agreement.

UPP may also access and process student data in the following circumstances:

  • Where there is a risk of harm to the student or any other person
  • Where is a risk of damage to the University's property or any other property
  • For any other matter arising out of a student's accommodation or membership of the University

Information to be shared

The student data provided by the university to UPP may include (but is not limited to):

  • title, forenames, surname
  • previous name (if applicable)
  • date of birth
  • gender
  • disability
  • contact and home address
  • mobile and landline phone numbers
  • email addresses
  • student number
  • UCAS (personal ID) number
  • course applied for (including name, faculty and department)
  • status of application
  • category of student (e.g. postgraduate/undergraduate)
  • academic year
  • course dates
  • fee status
  • enrolment status (if enrolled)
