What we do:
Campus Operations team is a multi-disciplinary team of subject matter experts who deliver all aspects of Hard and Soft Facilities Management across the University's academic portfolio and beyond. We support the delivery of the University and Estates Strategy by ensuring that appropriate maintenance and operational plans are in place to deliver safe and compliant buildings and spaces for staff, students and visitors.
The team is divided into five service areas:
- Reactive Maintenance has responsibility for progressing approximately 20,000 reactive and planned preventative maintenance tasks a year, as well as supporting the setup of key university events such as Open Days and Graduation.
- Programme Maintenance is responsible for planned repairs and maintenance works, commissioning the regular Buildings and Services Condition Surveys each year and incorporating the findings into the Estates 5 year maintenance plan. The team manages c65 external maintenance contracts for the university estate and sets out the annual planned preventative maintenance works programme for the reactive maintenance team. The team also supports capital projects and other strategic initiatives across the university by providing expert advice on building fabric and services.
- Grounds Maintenance is responsible for the upkeep of grounds and gardens within the three UK campuses, along with several other smaller areas of university land holdings. The team works collaboratively with external partners at UPP on matters relating to Biodiversity and landscape management around the Halls of Residence, and supports major events at Henley’s Greenlands Campus such as Regatta week.
- Operational Risk & Compliance is a small team of technical experts who assist with the management of compliance, risk and business continuity within Estates, and in partnership with other schools and directorates across the wider university. The team has overall responsibility for regulatory and legislative compliance relating to building services, each of which has a designated duty holder or responsible person. Accessibility of the academic estate also falls within the remit of the Operational Risk & Compliance Team.
- Facilities Management, the largest team within Estates, delivers soft FM services to the campuses. Cleaning, Portering, Security, Postal Services and Building Support Officers all sit within this team. As well as supporting the academic estate, the team also delivers contracted services to several of the University’s tenants and external partners such as TVSP, UPP and RSSL.
Highlights:
- Assisting with the site setup for key university events such as Welcome Week and Graduation, the reactive maintenance team help to support colleagues across the university to deliver a great experience for our students and their families/friends
- In order to tackle backlog maintenance across the estate, the Programme Maintenance team manages a programme of building condition surveys and repairs and replacements of building fabric and services as part of a 5 year Forward Maintenance Plan
- Whiteknights campus has been recognised with a Green Flag Award for the fourteenth year in a row, marking it out yet again as one of the UK’s best outdoor public spaces
- We ensure that our buildings are safe through careful monitoring of statutory and legislative compliance. The management of operational risk is the responsibility of the Operational Risk & Compliance Team, whilst Contract Maintenance management sits within Programme Maintenance.
- We undertake specialist surveys and provide expert advice on matters relating to accessibility of our buildings and open spaces, through targeted Accessibility Audits and programmes of remedial works to address non-compliance
- Our team of cleaners are working hard to ensure that the buildings and spaces that we manage are clean, and that we use the most eco-friendly and sustainable cleaning products and processes that are appropriate to the task
- The security team, who are present on campus 24/7 responding to all kinds of emergencies and keeping everyone safe, are working to implement changes to our processes and procedures in response to the forthcoming provisions of the new "Martyn's Law"
- Ensuring teaching spaces are adequately furnished and laid out is the responsibility of our portering team, and we are working hard with colleagues from Exams team to make sure the new semesterisation of the exam timetable is delivered seamlessly
- Our building support officers are a first point of contact for all building users and visitors to campus, they assist with all sorts of queries and requests, and are always happy to help with communications to other Estates teams
- Postal Services run a fabulous parcels and post service from the basement of Whiteknights House, but also have a pivotal role to play in ensuring that exam scripts are collated and delivered across our campuses for students and teaching staff
