How to migrate your contacts to readingLive using Outlook

For further information on how to configure readingLive access via Outlook, please see the Email Client Setup page.

Part 1 : Export your contacts from Webmail

IT Services have thoroughly tested this procedure, however, should you encounter a problem, please submit a help request.

1. Log into your webmail account at www.mail.reading.ac.uk

2. Click on the Addressbook tab. You should see a list of your contacts.

3. Click one of the Transfer links available at either the top or bottom of the Addressbook.

4. Select the link named "Export CSV (Outlook) addressbook". This will trigger some prompts.

5. Choose to Save the file. When asked where you wish to save the file, choose a memorable location (the Desktop in this example) and rename the file so it has .csv on the end, e.g. addressbook.csv.

NB If you forget to add .csv to the file name, Outlook will not be able to see the file when you want to import your contacts.

 

6. When you are happy with the name and location, click Save.

Part 2: Import your contacts using Outlook

IMPORTANT:

This assumes that you have already added your readingLive account to Outlook. Please see the readingLive Email Client Setup page for more information.

Open Outlook.

For Outlook 2007: Select the File menu then choose Import and Export…

For Outlook 2010: Select the File menu then choose Open. Select the Import option.

A wizard walks you through choosing the file containing your contacts and selecting where you'd like to save them.

1. Choose "Import from another program or file".

2. Choose "Comma Separated Values (Windows)".

3. Browse to the file you saved earlier.

4. Select your Contacts folder.

5 Select Finish to complete the wizard. Outlook will start importing your list of contacts.

Once the import has finished, your contacts will have been added to your readingLive account. Click on Contacts within Outlook to see the list.

Frequently Asked Questions

Q: What happened to my contact comments?

A: Webmail doesn't export this information. You will have to fill out your newly imported contacts by hand within Outlook or the readingLive contacts system.

Q: Can I use my contact Alias as the name that shows up in the To: box?

A: Yes. When you are importing your contacts you can choose Map Custom Fields so that Outlook knows what goes where. Drag "Nickname" from the left column on to the "Email Display Name" field in the right column.
