Accommodation Cancellation request

In order to apply for a release from your accommodation contract, you are required to complete an Accommodation Contract Cancellation Request form. This is a precondition for consideration of early termination of the contract. Sometimes a room doesn't feel suitable, consider changing your room before cancelling your contract. Please contact UPP to discuss this option first.

Prior to submitting the cancellation request form, please read the below as it will provide guidance on how to apply and the time required for the Accommodation Contract Management Office to decide. Please send through supporting documentation to accommodationonline@reading.ac.uk.

Things to consider

Please be aware that completing and submitting a cancellation request form does not mean your accommodation contract will be terminated with immediate effect

Make sure you read the information on this page before completing the cancellation form, and that you are aware of the terms and conditions of your student residency agreement (PDF).

You are liable for all rent payment whilst you are under that contract.

If the university releases you from your contract, you will incur a charge of four weeks rent starting from the day that you have been released from your contract, unless a suitable replacement is found to take over your contract.

Cancellation request form guidance

1. Refer to your student residency agreement prior to submitting your request.

2. Fill out the Contract Cancellation form at the bottom of this page.

3. Upload supporting documentation to the form. The table below lists the documents required.

Withdrawal, suspension or deferral

Please provide a letter of Withdrawal / Suspension / Deferral from the Student Support Co-ordinator.

If you are released from your contract, you will be liable for 4 weeks' rent, unless you are able to find to find a suitable replacement* to take over your contract.

I am not leaving the University but wish to cancel my contract

Please provide the replacement students details for the contract takeover.

This student must not have a disciplinary record with the university, they should not have an accommodation contract of their own, will need to be a current University of Reading student and they must not have any accommodation debt.

Disability Advisory Service / Warden supporting cancellation request

If you have a medical/mental health reason, please contact the Disability Advisory Service (DAS) in the first instance. If a reasonable adjustment cannot be achieved whilst living in halls, DAS may support your cancellation. In order for DAS to support your contract cancellation you must provide medical evidence to DAS and DAS will correspond with the Accommodation Office (ACMO).

You must have been diagnosed with the medical disability/mental health issue for over 12 months.

If you have welfare reasons for cancelling your contract, please contact your warden in the first instance.

Placement

Please provide a letter from your University placement coordinator or adviser confirming you are going on placement.

Placement students will be held to the contract until the end of the academic term. You will not incur a 4 week charge.

Study abroad

We will get confirmation from your University study abroad co-ordinator or adviser.

Study Abroad students will be held to the contract until the end of the academic term. You will not incur a 4 week charge.

*A Suitable Replacement must not have a disciplinary record with the university, they should not have an accommodation contract of their own, will need to be a current University of Reading student and they must not have any accommodation debt.

 

4. Once we have all the information required, you will be contacted within 15 working days with confirmation of our decision. Please note that we may invite you for a meeting to discuss your cancellation request form.

5. If your request is to change rooms without cancelling your contract, please contact UPP in the first instance by emailing accommodationonline@reading.ac.uk. (If UPP are unable to accommodate your request then please fill in the contract cancellation form).

6. We encourage students to discuss any accommodation concerns with the Accommodation Contract Management Office prior to submitting the cancellation form. If you would like to arrange a meeting, please get in contact with us.
