
This code of conduct sets out the conditions under which the Society will run. It details the health and safety requirements and procedures of the club, the training and instruction that the club will provide, and the conduct expected from the individual members at both Live Action events and Table Top events. Members should be aware that there is some risk involved in LARP. GARPS cannot be held accountable for this and for this purpose members wishing to play LARP should have valid Sports Federation Insurance.
Health and Safety
- For table-top-games held in the HUMS building, (formerly FOLSS)
In case of medical emergency, members must notify the porter and the emergency services. In case of fire, members must follow the procedures set out by the faculty of letters, information points are found in each room in the building.
- For table-top-games held off the campus
Host of the game will be the first point of contact for any emergency. Host of the game will organise any outside assistance.
- LARP (Live action role-play)
- In case of emergency the first point of contact is Rich Crookes, the LARP organiser. He will organise subsequent assistance.
- Only in extreme/ dangerous weather situations will LARP be cancelled. The organiser will be prepared to cancel the game at the last minute.
- Equipment must be checked before use for wear and safety.
- Area used for LARP will be checked for safety hazards before LARP starts.
- The University Security team (located in Whiteknights House), will be informed before LARP commences each week.
- First aid kit must be carried at every LARP event.
- At least one member of the LARP group must be trained in Basic First Aid.
- Warm and padded clothing or armour is the most ideal for this activity.
- Clothing must not restrict movement.
- Organiser will check health, fitness, condition, morale and clothing of the members before LARP commences. If clothing is inappropriate, organiser will provide more appropriate garb.
- Members may bring their own equipment and weapons, subject to a thorough examination by the organiser and or the president, Dave Tarr.
- Any special needs of the members will be taken into consideration when an event takes place.
- When members attend outside events and competitions, they will follow the health and safety instructions of the Event organiser.
Instruction
- GARPS Games Masters(GMs), will provide all training necessary for their respective games.
- LARP training will be provided on the first session of every University year, and will be repeated as necessary throughout the year. The training will be provided by the President of the club and the Organiser of LARP. Training will be provided in regards to safe ways to handle the weapons, safe use of the weapons, safety ‘call’ system, and who to inform in an emergency.
Conduct of Individual Club Members
- Game Players
- Club members must respect the gaming environment. On campus: University policy must be followed. Off campus: the house rules of the host should be followed.
- Club members must listen to the instructions of their game organiser (inc. LARP).
- Transport to and from games or events will be organised by the members, except in special situations where someone may be appointed to this duty. (For example, situations where a mini bus is required.)
- Members may be expected to help out with the organisation of large events on the campus.
- The GARP library is available to members through the Equipment Officer. (See the Library web site for details.) Books and games are expected to be returned in the same condition as they were lent out. All loans taken out within a term must be returned by the end of the same term. All loans must be returned before the final university leaving date of a member.
- Members are expected to contact their GMs if they cannot make it to an event or game.
- LARP players are expected to have valid Sports Federation insurance.
- Games Masters (GMs)
- GMs are expected to submit a full list of the people participating in their game (including contact details), to the Vice President.
- GMs should have a contact number or email for all the players in their game.
- GMs are expected to let their players know of any game changes in time or place, or cancellation, before 5pm the day of the game. (This does not apply to LARP; LARP organisers are expected to let the players know of any changes to the time or place of the game before 5pm on Friday. Last minute cancellation is possible.
- If a GM wishes to start or terminate a game, the GM must inform the vice president and, in the case of termination, the players.
- GMs will instruct players (esp. those new to the game), in regards to the rules of the game and creating characters. For LARP; additional instruction of the players in the safety ‘call’ system, in case of injury.
- For LARP the organiser will provide Sports Federation application forms for the members.
