Starting a Reading alumni group
The University of Reading is proud of the many ways in which its alumni stay connected to the University and each other. Regional alumni groups have an important role to play in the continued success of the University. Groups are vital to building and strengthening Reading's alumni community and keeping us connected.
Joining or starting a regional alumni group is a great way to stay in touch with friends and make new contacts. They provide valuable networking opportunities and keep alumni in touch with the University. We are aware that many alumni socialise and network together without letting the University know, but if you tell us about your activities we can help and support you along the way.
If you are interested in setting up a regional alumni group, we recommend that you follow these steps:
1. Contact the Alumni and Supporters Volunteering Officer to find out if there is already a group in your area and/or whether there is a sufficient concentration of alumni to form a group.
2. Get a committee together – we can help you locate volunteers who might be willing to help with setting up a new group. The committee will be responsible for maintaining the momentum of the group, organising events and sending some communications. They will also identify activities for the group and seek support from the Alumni Relations team as applicable.
3. Organise meetings/events. The Alumni Volunteering Officer will help by emailing all contactable alumni in your area with an invitation. Wherever possible, a member of staff from the Alumni Relations team will attend the first meeting/event to help.
The role of the committee
The size of the group will determine the size of the committee required to run the group. The volunteers would be involved in arranging informal get-togethers for local alumni on a frequent basis. On occasion, the Alumni Relations team will want to work with the regional alumni group to organise an event.
The committee will be asked to:
- Notify the University's Alumni Relations team of any planned events in good time to enable us to help with communications for the event
- After each event, send the Alumni Relations team details of the event along with photographs and a list of attendees where applicable
- Send through to the Alumni Relations team any regional updates or items of interest to be included in other communications.
How we can help you establish and run your Reading Alumni Group
We can help you by:
- Locating volunteers who might be willing to help you to start a new branch
- Organising emails to all alumni in the geographical area to be covered by the group
- Providing examples of best practice and approaches that have worked well for other groups
- Advertising group activities on the University of Reading alumni events calendar and via social media
- Providing regular news about what is happening at the University
- Promoting the alumni group to recently graduated students
- Encouraging staff and visiting academics to attend events and where appropriate host/facilitate the events.
You can help us by:
- Planning and communicating a programme of events in a timely fashion
- Giving as much notice as possible regarding what organisational help from the Alumni Relations team is required for each event
- Providing a brief summary of each event, accompanied by photos and a list of attendees
- Sharing your group successes and helping us share news from the University
- Providing committee membership updates and any volunteers who should be thanked
- Welcoming new graduates into your network.
Suggested activities for your regional alumni group
Each group will manage its own events, but may request the help of the Alumni Relations team. Activities might include the following:
o Facilitating social networking by providing opportunities for alumni to meet one another and to participate in social activities
o Facilitating professional networking
o Promoting the good name and reputation of the University and increase awareness of the University's activities and achievements
